Red Flags When Hiring an Event Technical Supplier

    Technical Production Guide:

Choosing an event technical supplier is about far more than finding someone with the right equipment. The company you appoint will play a major role in determining whether your event runs smoothly, stays on schedule and delivers the experience you've promised your audience.

Most technical suppliers are professional, experienced and committed to delivering successful events. However, not every quotation or proposal offers the same level of planning, project management or technical expertise. Two companies may appear to be providing similar services, yet the difference in preparation, communication and operational support can become obvious once the build begins.

Unfortunately, many warning signs don't appear until it's too late. A quotation may seem competitive until essential items are added later, communication may become inconsistent after the contract is signed, or responsibilities may remain unclear until several contractors are already working on site. By then, changing supplier is rarely practical.

Recognising these red flags during the selection process helps you choose a technical partner that will support your event rather than create unnecessary risk. The right questions at the beginning can save significant time, cost and stress later in the project.

    evolution-technical-event-planning-team-meeting

They Focus on Equipment Before Understanding the Event

One of the clearest warning signs is a supplier who immediately recommends equipment without first asking detailed questions about the event.

Every production is different. The venue, audience size, event objectives, programme, content, staging requirements and operational schedule all influence the technical solution. A company that recommends a standard package before understanding these factors is likely designing around its inventory rather than your event.

Professional suppliers usually spend more time asking questions than making recommendations during the early stages of a project. They want to understand what success looks like, how the audience will experience the event, what challenges the venue presents, and whether there are any technical or logistical constraints that need to be considered.

Their proposal should explain why specific equipment has been selected and how it supports the event objectives. If the quotation feels like a generic equipment list with little reference to your actual brief, it is worth asking whether the solution has truly been designed for your event.

A good technical partner begins by understanding the problem before suggesting the solution.

Communication Becomes Difficult Early in the Project:

The way a supplier communicates before the contract is signed often reflects how they will communicate throughout the project.

Long delays in responding to emails, inconsistent information from different team members, or difficulty arranging meetings can all indicate organisational challenges. Large events depend on accurate and timely communication between venues, organisers, contractors and technical departments, so reliability matters from the very beginning.

You should also pay attention to how questions are answered. A good supplier explains technical recommendations in clear language, acknowledges uncertainties and provides realistic timelines. They should never make promises simply to secure the work if those promises cannot reasonably be delivered.

Strong communication also means listening. If a supplier dismisses concerns or repeatedly steers conversations back towards equipment rather than the event objectives, they may not be fully engaged with your requirements.

A dependable technical partner should make the planning process feel more organised and more predictable, not more confusing.

    evolution-technical-rigging-design-cad-workstations

    Discussing and planning for risk:

Technical production involves much more than installing equipment on the day of the event.

Professional suppliers discuss site surveys, CAD drawings, rehearsals, contingency planning, backup systems, access schedules, and coordination with other contractors because these activities help prevent problems and risks before they occur.

If a supplier only talks about delivery and setup without mentioning planning, it may suggest that important stages of the production process are being overlooked. While smaller events may require less documentation than large conferences or outdoor productions, every event benefits from some level of structured preparation.

You should also ask how unexpected issues are handled. Equipment failures, programme changes, delayed speakers and venue restrictions are all common parts of live events. A capable supplier should be able to explain how they prepare for these situations rather than simply hoping they do not occur.

The absence of planning is often invisible until something goes wrong. By then, it is usually too late to introduce the preparation that should have happened weeks earlier.

How Evolution Technical Builds Client Confidence:

At Evolution Technical, every project begins with understanding the event before discussing equipment.

The team takes time to learn about the venue, audience, programme, creative objectives and operational requirements before developing a technical solution. This ensures recommendations are based on the needs of the production rather than standard equipment packages.

Detailed planning forms the foundation of every project. Site surveys, CAD drawings, production schedules and technical coordination help identify challenges early, allowing solutions to be developed before installation begins. Throughout the process, clients have a dedicated point of contact who oversees communication between technical departments, venues and other contractors.

Quotations are designed to be clear and transparent, outlining the proposed scope while identifying assumptions and exclusions where necessary. If the event changes, revisions are discussed openly so clients understand both the operational and financial implications before decisions are made.

By combining honest communication with careful planning and experienced project management, Evolution Technical helps clients move into live production with confidence rather than uncertainty.

    Quick Checklist:

Before appointing a technical supplier, ask yourself:

    • Have they taken time to understand the event?
    • Is the quotation detailed and transparent?
    • Are inclusions and exclusions clearly defined?
    • Do they discuss planning as well as equipment?
    • Who will manage the project on site?
    • Have they explained their contingency approach?
    • Are communication and response times professional?
    • Can they demonstrate experience with similar events?
    • Are responsibilities clearly assigned?
    • Do their recommendations genuinely suit the event?

    Frequently Asked Questions

Should I always choose the lowest technical quotation?

Not necessarily. A lower quotation may exclude important services such as project management, rehearsals, transport or backup systems. Comparing scope as well as price provides a more accurate picture of overall value.

How detailed should a technical quotation be?

A professional quotation should explain the proposed equipment, labour, project management, installation schedule, assumptions, exclusions, and any optional items. It should give you confidence about exactly what is being delivered.

Why is project management important in technical production?

Project management ensures that lighting, audio, video, staging, venues and other contractors work together efficiently. Good coordination reduces delays, improves communication and helps resolve issues before they affect the event.

What questions should I ask a technical supplier?

Ask about their planning process, previous experience, project management structure, contingency planning, communication methods, and who will be responsible during the live event.

Choose the Supplier That Reduces Risk, Not Just Cost:

The best technical supplier is rarely the one with the longest equipment list or the lowest quotation. They are the company that asks thoughtful questions, communicates clearly, plans thoroughly, and takes responsibility for delivering the event successfully.

Technical production is about managing countless details before the audience ever arrives. When those details are handled professionally, the event feels seamless because the preparation remains invisible. When they are overlooked, even minor issues can quickly affect the schedule, the experience, and the confidence of everyone involved.

At Evolution Technical, we believe strong technical partnerships are built on transparency, planning and accountability. By understanding each client's objectives and coordinating every stage of the production, we help create events that are reliable, efficient and ready for whatever the live environment brings.

When choosing a technical supplier, don't just compare the equipment—compare the thinking behind it.
